Privacy Policy
Applies to the public Hearquence website. Last updated 23 September 2026.
This policy explains what happens to personal data when you visit this website, send us an enquiry, or use the live demo. It covers this public website only. The signed-in Hearquence platform is a separate service with its own terms and privacy information.
Who is responsible
The controller of your personal data is Grzegorz Idryjan, operating as "Hearquence", Na Piasku 4/5, 44-100 Gliwice, Poland.

Visiting the website
When you open a page, our hosting infrastructure processes technical connection data such as your IP address, browser identification, the address of the requested page and the time of the request. This is necessary to deliver the site and to detect and stop attacks and abuse. We do not build visitor profiles and we do not use advertising or analytics tracking.
Legal basis: our legitimate interest in providing and securing the website (Art. 6(1)(f) GDPR).
Contact and access requests
If you submit the enquiry form, we process the details you provide, such as your name, work email address, organisation, information about the sport or workflow you want to evaluate, and anything you write in the message field. We use this information only to read, manage and answer your enquiry and to hold the resulting business conversation.
Providing this information is voluntary, but without it we cannot respond. Please do not include sensitive personal information in the message field, as it is not needed to answer an enquiry.
We keep an enquiry while the conversation is active and delete it automatically once there has been no relevant contact for 12 months, unless we are legally required to keep it longer. A copy of the correspondence may also exist in our business mailbox and is removed in line with the same approach.
Legal basis: our legitimate interest in handling business enquiries addressed to us, and in taking steps at your request before entering into a contract (Art. 6(1)(f) and Art. 6(1)(b) GDPR).
Live demo
The live demo lets you speak into your browser and see how spoken observations are turned into structured sports data. Your browser asks for microphone permission first, and audio capture starts only when you choose to start it. A single input is limited to about 12 seconds.
While the demo runs, your audio is streamed for speech recognition and the recognised text is processed to generate structured sports data.
Hearquence does not retain the raw audio, recognised text or generated demo results in persistent storage. They are processed only as needed to provide the live demo.
For continuity between closely spaced demo inputs, structured events from approximately the previous 20 seconds may temporarily be held in memory and used as context for the next input. This short-term context is not written to persistent storage and is discarded when it is no longer needed or when you start fresh.
Although demo content is not persistently stored by Hearquence, please do not submit confidential information or unnecessary sensitive or personal information. The demo is intended for sports observations.
We keep technical usage records of demo runs, such as timings, status and data volumes, for up to 90 days. These records contain no audio, recognised text or generated demo results.
Legal basis: our legitimate interest in providing, securing, troubleshooting and maintaining the quality of a demo you choose to use (Art. 6(1)(f) GDPR).
Speech recognition
Audio from the demo is processed by a speech-recognition service using infrastructure located in the European Union.
The service is configured not to retain submitted audio or the resulting transcript after the request has been processed and not to use that content for model improvement.
The service may retain technical request and usage records for up to 90 days. Those records do not contain submitted audio or transcripts. Aggregated service-usage information may be retained for longer periods.
Turning speech into sports data
The recognised text and the recent context needed to produce structured sports data are processed by an external AI service.
That service does not persistently store inference inputs or results. Portions of an input may temporarily remain in an ephemeral in-memory cache used to process requests. This cache is not persistent storage and may remain in memory for up to approximately one hour.
Third-party processing and our own retention
Speech recognition and AI processing require relevant data to be transmitted to external service providers so that the live demo can operate.
Their processing is separate from Hearquence's own storage. Hearquence does not create a persistent copy of the demo audio, recognised text or generated results.
Preventing abuse
The live demo is free and costs us money to run, so we limit how often it can be used. To do this we use a random identifier stored in your browser and short-lived counters based on your IP address. The identifier contains no personal details and is not used to recognise you across other websites. We use Cloudflare Turnstile to protect public forms against automated submissions and abuse. Turnstile may process technical information about your browser, device and network connection for security and bot-detection purposes.
Legal basis: our legitimate interest in preventing abuse and controlling costs (Art. 6(1)(f) GDPR).
Who processes data for us
We use a small number of service providers where necessary to operate this website and its features. Depending on the feature used, these may include providers of:
- cloud infrastructure and hosting;
- speech recognition;
- artificial intelligence processing;
- email delivery;
- security and abuse prevention.
These providers receive information required to provide the relevant service.
Some service providers may process data outside the European Economic Area. If you would like more information about the categories of providers involved or where processing may take place, contact us at privacy@hearquence.com.
Your rights
You have the right to access your data, to have it corrected or deleted, to restrict or object to its processing, and to data portability where applicable. Where we rely on legitimate interests, you may object at any time for reasons relating to your situation.

You also have the right to lodge a complaint with a supervisory authority. In Poland this is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych).
